Farmlands Supplier Code of Conduct
Purpose and Scope
At Farmlands we are committed to the highest standards of social, environmental, and ethical conduct. We seek to engage suppliers who share our approach to conducting business. Farmlands is committed to sourcing products and services from suppliers who provide safe working conditions, treat workers with respect and dignity, and conduct business in an environmentally and socially responsible manner.
Farmlands requires suppliers to meet or exceed the minimum standards outlined in this Code and to fully comply with all applicable laws and regulations. Failure to comply with all the standards in this Code may result in a supplier being ineligible from supplying further products or services.
The Code applies to all suppliers, including their subsidiaries, subcontractors and any other organisations within the suppliers’ supply chain, that provide products and/or services to Farmlands or its subsidiaries. Suppliers are fully responsible for ensuring their compliance with this Code not only within their own operations but also throughout their supply chains. They must take appropriate action to address any instances of non-compliance.
Labour and Human Rights
Farmlands is an equal opportunity employer, supports the protection of human rights guided by international principle and does not tolerate harassment and discrimination of any kind. At a minimum suppliers must ensure:
• Human rights are respected, and employees are not subjected to harassment or discrimination of any form for any reason. All recruitment and conditions of employment must be based solely on an individual’s ability to perform the job.
• All employees are voluntarily employed, lawfully entitled to work at that location, and not subject to any form of forced, coerced, bonded, indentured or involuntary labour. Employees are free to leave their employer after providing reasonable notice.
• Child labour is strictly prohibited. All employees must meet the local legal minimum age for employment.
• Local laws and regulations regarding wages, working hours, overtime, leave and benefits are adhered to.
•Employees have the right to freely associate and engage in collective bargaining, in accordance with local labour laws. All suppliers are committed to eliminating the risk of Modern Slavery occurring within their business and take proactive measures to prevent all forms of slavery, exploitation, and human trafficking in its operations and its supply chain.
Health and Safety
Farmlands is committed to providing and maintaining a safe work environment that protects employees from injury and ill health, as well as safeguarding property from damage. At a minimum, suppliers must:
• Be committed to the safety of its employees. This includes providing policies and procedures to ensure compliance with applicable health and safety laws relevant to their jurisdictions.
• Adopt responsible measures to mitigate any negative impacts the workplace environment may have on workers.
Ethical Business
Farmlands strives to operate to the highest moral and ethical standards, comply with all applicable laws and regulations and shall not be part of any corrupt, anti-competitive, or fraudulent activities. Farmlands requires suppliers to adhere to similar high standards of ethical and moral conduct. At a minimum, supplier must:
• Conduct business dealings with the highest levels of integrity, transparency and honesty. This includes acting in accordance with all applicable laws in their jurisdiction.
• Not engage in any form of corruption including bribery, facilitation payments, extortion, money laundering and/or other illegal or unethical practices.
• Disclose any actual, perceived or potential conflict of interest to Farmlands.
• encourage all workers to report concerns or suspected illegal activities without threat of reprisal, intimidation or harassment, and shall investigate and take corrective action if needed.
Environmental Sustainability
Farmlands wishes to conduct Business with suppliers who share our commitment to environmentally responsible Business practices. At a minimum, supplier must:
• Conduct business in accordance with all applicable environmental laws, rules and regulations. This includes but is not limited to legislation relevant to the usage and effects on water, energy, hazardous chemicals, air quality and waste. All required environmental permits, licences, information registration and restrictions shall be obtained, and their operational and reporting requirements followed.
• Conduct Business in a manner that conserves natural resources and engages in activities that are aimed at minimising the impact on the environment.
• Ensure that local (in-country) housing and safety standards are met for suppliers that provide housing and living accommodations for workers.
• have systems in place to prevent and mitigate accidental spills and releases into the environment.
Responsible Hosting
Farmlands expects its staff to uphold responsible behaviour at all work-related social events. This includes the moderate consumption of alcohol and the host ensuring availability of non-alcoholic beverage options.
When hosting Farmlands staff at events or functions, suppliers are expected to support and uphold these responsible hosting principles. This ensures a safe, respectful, and inclusive environment that aligns with Farmlands’ values and expectations.
Application of the Code
Suppliers are expected to maintain and be able to provide Farmlands with documentation which verifies compliance with the Farmlands Supplier Code of Conduct. If the supplier becomes aware of any areas of non-compliance, Farmlands must be notified immediately, along with a plan to remedy the non-compliance.
Farmlands or its representative reserves the right to review the suppliers’ compliance with this Code. This may include provision of relevant documentation, completion of questionnaires and site inspections. Farmlands expects suppliers to co-operate by providing access to requested documents and staff as reasonably required.
Failure to comply with any part of the Code may result in the adoption of disciplinary measures including the termination of the supplier agreement with Farmlands.
